Privacy policy

This website is operated by Hy-Farm Microgreens.

This Privacy Policy explains how we collect, use and disclose personal information received through our website and through Facebook and Instagram lead forms.

Information we collect

Depending on how you contact us, we may collect:

  • Personal information you provide, such as your name, email address, telephone number and location.
  • Answers you submit about the products, services or partnership opportunities you are interested in.
  • Your preferred contact method, where requested.
  • Information about website use, such as your IP address, browser type and language settings.
Facebook and Instagram lead forms

When you submit a Hy-Farm lead form on Facebook or Instagram, Meta sends us the information you provide so we can respond to your enquiry.

We may also receive the submission date and time, information identifying the form, advertisement and campaign, and any consent responses supplied by Meta.

We store this information and the history of our follow-up in our customer relationship management system. Meta also processes information according to its own privacy policy.

How we use your information

We use your information to:

  • Respond to your enquiries and provide the information you requested.
  • Discuss products, services or partnership opportunities relevant to your request.
  • Manage follow-up conversations and your contact preferences.
  • Monitor and improve our website and services.

Submitting an enquiry does not automatically subscribe you to unrelated marketing.

Telephone contact and AI assistants

We may contact you about your enquiry using the contact details you provide and taking account of your stated contact preferences.

Some calls may be made by automated assistants using artificial intelligence (AI). We will clearly identify an AI assistant at the start of the call. You can decline to continue and request contact from a person instead. Where prior consent is required, we will obtain it before calling.

If a call involves recording or storing a transcript, we will explain this in advance and obtain consent where required.

Accepting this policy does not, by itself, constitute consent to automated calls or call recording. Changes to this policy do not retrospectively expand consent given with an earlier enquiry.

Sharing your information

We may share information with service providers supporting our website, enquiry management, communications and customer relationship management, where needed for those services.

If AI calling is introduced, relevant telephone and AI service providers may process the information needed to handle the conversation.

We may also disclose information where necessary to comply with legal obligations, protect legal rights or prevent or investigate fraud and other unlawful activity.

Keeping your information secure

We use appropriate technical and organisational measures to protect personal information against unauthorised access, disclosure, alteration or loss. Access is limited to people and service providers who need it for the relevant purpose.

How long we keep information

We retain personal information only for as long as necessary to handle your enquiry and relevant follow-up, meet applicable legal obligations or establish, exercise or defend legal claims.

When determining retention, we consider the purpose of collection, whether your enquiry remains active and any applicable legal requirements. We may retain limited information necessary to respect a request not to be contacted.

Before introducing recorded or transcribed AI calls, we will provide the relevant retention information.

Your rights and contact preferences

Depending on the applicable conditions, you may request access to, correction or deletion of your personal information, restriction of processing or portability of your data. You may also object to processing, including direct marketing.

Where processing relies on consent, you can withdraw it at any time. Withdrawal does not affect the lawfulness of processing carried out before withdrawal.

To exercise your rights, withdraw consent or ask us to stop marketing contact, email sales@hy-farm.com.

You also have the right to complain to the competent data protection supervisory authority. In Romania, this is ANSPDCP.
